JON KANE WEDDING HOST & DJ
Privacy Policy
Last updated: 14 October 2026
Who I am
Jon Kane, trading as Jon Kane Wedding Host & DJ, is a sole trader based in the North West of England, United Kingdom.
I am responsible for deciding how and why personal information is collected and used.
For privacy enquiries, contact:
Email: info@jonkaneweddinghost.com
Website: www.jonkaneweddinghost.com
A postal address for formal correspondence is available on request.
Information I collect
When someone contacts me through my website, email, telephone, WhatsApp or booking portal, I may collect:
- Names and contact details.
- Wedding or event dates and venue details.
- Services and packages requested.
- Guest numbers, budgets and event requirements.
- Preferred communication methods.
- Messages and information submitted through enquiry forms.
- Booking agreements, invoices and payment records.
- Music preferences, playlists and event planning information.
- Relevant supplier and event contact details.
The website may also process technical information for security, spam prevention and reliable enquiry submissions.
Please avoid sharing sensitive personal information unless it is necessary for planning your event.
How I use your information
I use personal information to respond to enquiries, check availability, provide quotations, manage bookings and payments, communicate with clients, plan and deliver events, coordinate relevant suppliers, maintain business records and protect the website against misuse.
I do not sell personal information.
I do not send unrelated marketing emails without an appropriate lawful basis.
Legal basis for processing
Where appropriate, I process information under the following lawful bases:
Contract: To take steps towards a booking and deliver agreed services.
Legal obligation: To comply with applicable financial, accounting and legal requirements.
Legitimate interests: To operate and protect my business, maintain appropriate records and respond to relevant communications, where those interests are not overridden by individual rights.
Consent: For activities requiring consent, including certain marketing communications and promotional uses of photographs or videos.
Consent can be withdrawn where processing relies upon it.
How information is stored and shared
I use external services to operate my business, which may include:
- Lovable for website hosting and enquiry storage.
- Resend for enquiry notifications and acknowledgement emails.
- Google Workspace / Gmail for business communications.
- Planning Beats for booking management, contracts, payments and event planning where applicable.
Relevant information may be shared with venues, musicians, entertainers and other suppliers where necessary to deliver agreed services.
Some of these providers may process or store information outside the UK. Where that happens, I aim to use providers whose terms allow transfers to take place in line with UK data protection law. You can contact me for more information about how a particular provider handles your data.
Website enquiries are stored in the website's own system. They are not automatically transferred to Planning Beats; booking information is added there separately where applicable.
How long information is kept
Personal information is retained only for as long as necessary.
Enquiries that do not lead to a booking will generally be deleted after 12 months without relevant activity. This does not apply to confirmed bookings, ongoing conversations, or information that needs to be kept for financial, legal or dispute-related reasons.
Booking and financial records are kept for as long as UK tax law requires. For sole traders this is generally at least five years after the 31 January Self Assessment deadline for the relevant tax year. Records may be kept longer where needed for a dispute, legal claim or other legal obligation.
Planning information will be reviewed and deleted when no longer needed.
Photographs and videos
I may capture photographs or short videos at events, which may include couples, guests and other attendees, for use on my website and social media.
Where individuals are identifiable, I will ensure an appropriate lawful basis exists and seek permission where required.
Requests not to use promotional content will be respected where applicable.
Particular care will be taken with images involving children.
Cookies and website technology
The website may use essential cookies or similar technologies for functionality and security.
If optional analytics, advertising or non-essential tracking technologies are used, appropriate information and consent controls will be provided where required.
Your rights
Under UK data protection law, individuals may have rights to access, correct, erase, restrict or object to the processing of personal information, and to request data portability where applicable.
Where processing relies on consent, consent may be withdrawn.
To exercise these rights, contact info@jonkaneweddinghost.com.
Complaints
If you have concerns about how your information is handled, please contact me.
You can also raise a complaint with the Information Commissioner's Office: ico.org.uk
Changes to this policy
This Privacy Policy may be updated when my services, technology or legal requirements change.
The latest version will be available on this website.
